Content and distribution can pass through several roles or departments, so standardizing sequence and responsibilities becomes vital for marketing ops. I automate operational work around web and social posting by using existing tools when appropriate and build automations and applications when needed.

Web/Social Workflow

To help maximize content, a firm’s project website page functions as a master copy to pull from. Captions and image groupings are generated into posts. Each image is traced from its web-resolution file back to the high-res source. Social posts are built automatically, optimizing aspect ratio, matching images, and building previews. Automated video carousels are handled by a custom script connecting straight to the Instagram Graph API, with 4K originals transcoded to the feed's spec at near-source quality before upload.

In order to add a project to the firm’s web portfolio, work passes through several roles across the company, and includes sourcing photos, diagram creation, layout, copy editing and upload. The workflow is drawn as a swimlane diagram in Visio, and a script builds the task set from it, automatically assigning it to the appropriate role. Every task is created up front in Planner and parked unassigned in a Blocked bucket, tracked a row apiece in a SharePoint List that holds its step number, owner and status. Completing one task assigns the next to its owner from the staffing list and moves it into the released column.
